UConn primarily relies on the state agency record retention schedules to determine the minimum duration of time we are required to retain the records generated in our course of business. There are instances, however, where university administrators have extended the minimum record keeping requirements in order to better serve the needs of our dynamic institution.
How to read the table:
Column 1: This column lists the type of record in which you are trying to determine if there is an extended retention requirement. Other records must meet the state’s requirements found here.
Column 2: This column lists the retention requirement prescribed by UConn.
Column 3: This column provides a link to determine if your department or a different unit is responsible for retaining the official record copy. If you do not have the official record copy, you may destroy when no longer administratively valuable– the records would not have to meet the minimum retention requirements or be authorized for destruction.
Record | State Retention Requirement | UConn Retention Requirement |
Procard Records | 3 years, or until audited, whichever is later | 7 years, or until audited, whichever is later |
Purchase Orders (including related documentation) | 3 years, or until audited, whichever is later | 7 years, or until audited, whichever is later |
